Ask five agencies what a live band costs and you will get five very different numbers. That is not always a sign of overcharging: the price of live music depends on a set of concrete variables. Knowing them helps you compare quotes fairly and spend where it matters.
The 9 factors that determine the price
- Number of musicians. A duo, a quartet and an eight-piece band with brass are different products. Each musician adds a fee, travel and logistics.
- Experience and demand. Artists with international careers, residencies at top venues or strong repertoire in several languages cost more, and are usually worth it for high-profile events.
- Hours and set structure. Two 45-minute sets cost less than live music from ceremony to closing. Long days may require extra musicians or breaks.
- Date and season. Peak wedding and event seasons (for example October to April in Dubai, or May to September in the Mediterranean) and weekends have less availability.
- Travel and accommodation. If artists fly in, flights, hotels, local transport and per diems are part of the budget.
- Visas and permits. Some countries require work authorisation or event permits, with their own fees and timelines.
- Sound, lighting and backline. Some bands bring a full system; others need the venue or a production company to provide it.
- Repertoire requests. Learning new songs, custom arrangements or a first-dance special take rehearsal time.
- Rehearsals and setup. Early load-in, sound checks, multiple setups (ceremony, dinner, party) and overtime all add up.
How to compare quotes fairly
Put the quotes side by side and check that they include the same things: number of musicians, total performance time, equipment, travel, accommodation and taxes. A cheaper quote that excludes sound and travel often ends up costing more.
How to get an accurate proposal
Send the agency: date, city and venue, number of guests, the schedule of the day, the moments where you want music, the style you imagine, and your budget range. With that, a professional agency can propose two or three options at different levels instead of a single price.
